To support us on our journey we’re now on the hunt for a highly effective Executive Assistant to support our CEO. All at once a ray of sunshine and incredibly organised, you will be responsible for organising Maria’s diary, ensuring her time is used effectively, triaging communication and supporting on a wide variety of tasks to help our leader focus on growing and evolving our business. With impeccable judgement and unshakeable discretion and maturity you will becoming an invaluable support and run a tight ship. Starboard.


Responsibilities

  • Managing our (brilliant) CEO’s diary, planning and scheduling meetings, booking travel arrangements and providing general administrative support to her as needed
  • Conserving the CEO’s time through inbox management, reading, researching and routing / categorising correspondence to protect time and improve efficiency
  • Supporting the CEO and members of the leadership team with administrative tasks as required, from sourcing external meeting room space to general PA duties, planning travel for other executives and coordinating leadership sessions and events
  • Plan and coordinate to ensure the CEO’s schedule is followed and respected, providing ‘gatekeeper’ and ‘gateway’ role creating win-wins for access to CEO’s time
  • Working closely with the CEO to keep her well informed of upcoming commitments and responsibilities, following up appropriately and keeping things moving
  • Drafting letters and documents for the executive team as needed, which will sometimes be confidential and commercially sensitive
  • Supporting on the organisation of all-company events and occasionally picking up general office duties or tasks to support our People Team who manage the office


Requirements


  • Clear track record as an Executive Assistant, ideally supporting a CEO in a growing and fast-paced environment
  • Must have experience of diary and inbox management for a CEO or director and as a professional must be highly trustworthy and discrete with excellent judgement.
  • An impeccably clear and professional communicator, comfortable with an informal environment but able to communicate with external parties appropriately
  • A dedicated organiser and multi-tasker, you can manage your own time (and someone else’s) effectively and balance multiple competing priorities effortlessly
  • Pragmatic problem-solving skills, you don’t lose your cool under pressure and can quickly think of sensible solutions to a multitude of issues
  • Humble and comfortable with a wide range of tasks in your day to day, with ability to work flexibly regarding responsibilities and responsiveness
  • Exposure to working with wider executive teams is a plus
